Getting Started

Stage 1: Applying for a Job

Before you apply for a job you should look through the Job Opportunities List in order to find one that meets your interests. In addition, before you begin working on-campus, you are required to submit the following three (3) forms:

Federal Work-Study Job Application (Download it in PDF format)
By filling out this form, you inform the Financial Aid Office of your skills, interests, and preferred job placement. We try to place students in their first choice job; however, this is not always possible. Students are placed on a first-come, first-serve basis. Those students who submit their documents (complete & accurate) are given their job assignment first.

IRS Form W-4 (Download it in PDF format)
This form tells the Payroll Office how much federal income tax you would like withheld from your pay. Most students claim either "0" (zero) or "1" (one) exemption in line 5, or "exempt" in line 7 of the W-4 form; however, you may claim as many exemptions as you are eligible for. When filling out the form, be sure to provide your name, permanent address, social security number, marital status, signature, and date. If you need assistance in completing the W-4 form, contact the Internal Revenue Service at 1-800-829-1040 or check the Internet at www.irs.gov.

Note: Claiming "0" means that you would like the maximum amount of taxes withheld. Claiming "1" means that you would prefer to have fewer taxes withheld from your monthly paycheck. Indicating "exempt" in line 7 means that no taxes will be taken out, if you meet the withholding conditions.

Federal I-9 Form & photocopies of requested documents (Download it in PDF format)
With the passage of the Immigration Reform and Control Act of 1986, every employer in the United States must now check the legal status of all employees, including student employees hired after November 6, 1986, or face criminal penalties.

All new employees must complete an Employment Eligibility Verification Form (I-9) and present ORIGINAL documents. You must present EITHER one original document that establishes both employment authorization and identity (List A) OR one original document that establishes identity (List B) AND a separate original document that establishes employment authorization (List C).

The following is a brief list of documents that can be used to establish identity and/or employment eligibility:

United States Passport

Certificate of U.S. Citizenship (INS Form N-560)

Alien Registration Receipt Card with Photograph (INS I-151 or I-551)

Temporary Resident Card
(INS I-688A)

State issued driver's license or I.D. with photo

School I.D. with photo

Original social security card

Birth certificate issued by state, county, or municipal authority, bearing a seal or other certification

Certificate of birth issued by the Department of State (FS-545)

Note: All students, citizens and non-citizens, participating in FWS must have a Social Security Card. You will only be placed once you have obtained a Social Security Number.

If you do not complete the above-required forms, we will not be able to set you up for payroll and you will not receive a paycheck.

Stage 2: Work Authorization & Job Placement

Upon receipt of the completed job application, the Federal I-9 Form (including photocopies, typically, of your driver's license and social security card), and IRS Form W-4, the Student Work-Study Coordinator will issue a Payroll Authorization Form (PAF). The PAF indicates the department in which you have been placed, the name of your supervisor, and your pay rate. You must pick up a new PAF in the Financial Aid Office at the beginning of each academic year and anytime that you decide to change departments .

The Financial Aid Office merely refers students to supervisors. The supervisor indicated on your PAF will interview you and decide whether or not you will be hired. The Financial Aid Office does not make hiring decisions. If a supervisor does not hire you, you should contact the Federal Work-Study Coordinator in the Financial Aid Office for another referral.

Once hired, you MUST notify the Financial Aid Office by returning the signed Payroll Authorization Form (PAF) PRIOR TO YOUR FIRST DAY OF WORK. Students may NOT work prior to submitting the PAF to the Financial Aid Office.
