Barry University’s serene, tree-lined, South Florida campus is centrally located, convenient to both Miami and Fort Lauderdale airport and attractions. Our facilities and services offer affordability and quality for conferences, camps, and special events.

Our website provides information on renting facilities at Barry for conferences and special events. Barry has served as the venue for a variety of events which support our mission, including:

  • Educational activities as training workshops, exam preparation courses, professional development and continuing education opportunities
  • Community events such organizational meetings, awards ceremonies, weddings, graduations, plays, and athletic events
  • Religious gatherings such as lectures, study groups, religious celebrations, and prayer gatherings
  • Summer programs such as sports camps, conferences, academic programs, youth programs, and more

Our university offers most of the services you will need to successfully plan your event, and Conference & Event Services will be able to assist you throughout the process.

Barry’s Conference & Event Services department is a member of the Association of Collegiate Conference and Event Directors International (ACCED-I) and Event Management Systems (EMS®) User’s Network.

Staff

Purpose Statement

The purpose of the Conference and Event Services (CES) department is to plan and manage all campus activities and events (internal & external) through the utilization of University spaces.

The CES department is responsible for:

  • Day to day use and rental of meeting rooms and other facilities for non-academic use
  • Handling all requests for summer use of the residence halls, classrooms, and other facilities
  • Administration of the University’s Master Events Calendar
  • Assist with planning of all major University events

Additionally, the CES department will work to assist our clients in meeting their event goals and objectives, while maintaining the involvement and interest of our students, faculty, staff, alumni, donors, and community partners.

Barry’s Conference & Event Services department is a member of the Association of Collegiate Conference and Event Directors International (ACCED-I) and Event Management Systems (EMS®) User’s Network.

Meeting Spaces

    Andreas Conference Rooms

    The two (2) Andreas conference rooms can accommodate up to 150-200 people. These facilities can be used for meetings, luncheons, dinners, seminars, and receptions. Andreas 111 & 112 are the largest of our conference/banquet rooms; both are over 3,000 square feet in size.

    Kostka Room

    The Kostka room, located on the second floor of Thompson Hall, features family-style seating and can accommodate up to 65 people. It can be used for meetings, luncheons, dinners, and receptions. There is a built-in podium and microphone in the room.

    Health and Sports Center - Gymnasium

    The University gymnasium holds various types of events athletic games, karate tournaments, graduations, etc. is facility is approximately 14,820 square feet of gymnasium floor. It has a built in bleachers on both sides, and a public announcement system is also available. Departments wishing to reserve the gym for special events should plan in advance and plan on working around the schedule of our athletic teams.

    Broad Center for The Performing Arts

    The Broad Center is a fully equipped 979 seat auditorium. Standard reservation includes use of the auditorium, lobby area, restrooms. The Broad Auditorium is usually in use during the academic year for Fine Arts classes and major University events only. Departments wishing to reserve the auditorium should plan on requesting dates when classes are not in session, or during the summer months.

    Classroom Space

    Barry offers conventional and technology equipped classrooms with various capacities that have been designed to meet your classroom needs. CES will be able to recommend spaces for your specific function. Classroom availability is limited during the academic year for external rentals.

    Outdoor Events

    Outdoor Areas can and should also be reserved through the web request form. The University hosts a variety of events in various locations, such as the Mall Area in front of the Chapel, Thompson Plaza, and the Chapel Deck. Conference & Events services can arrange most of the services you will need for outdoor events, such as tables and chairs, tents, and sound equipment.

Conferences and Camps

Barry University offers summer conference housing beginning mid-May through August 1st.

Our campus offers a wide range of recreational and meeting facilities, comfortable overnight accommodations, and a location convenient to all Miami and Ft. Lauderdale attractions. Each year, Barry welcomes numerous religious, educational, and cultural conferences to campus.

Our residence halls offer:

  • Single or double rooms
  • Linens available with your room rental; Linens include blanket, pillowcase, two sheets, mattress pad, towel and washcloth.
  • Telephone connections available in each bedroom; (conference attendees must bring their own telephone if they would like phone service; calling cards are required to make long-distance phone calls)
  • Self-service laundry facilities
  • Vending machines

Filming and Photography

The Office of Conference & Event Services (“CES”) is responsible for all arrangements for facility use pertaining to filming and photography shoots at Barry University’s main campus. This does not include news photography; all requests for news photography should be coordinated through the Office of University Relations.

Availability for filming and photography are contingent on the following:

  • Advance notice of at least three (5) working days prior to the shoot date.
  • Specific days (s) and location(s) requested
  • Availability of parking and necessary University Personnel
  • Schedule of University events and classes
  • Impact on the students, faculty, staff and community members
  • Application for Facility Use is received and approved by CES
  • All security deposits, damage deposits, and fees required must be received no less than two (2) business days prior to filming

**Filming and photo shoots are only confirmed when a contract has been signed by both parties.

Special Events

All of Barry’s facilities are during the summer (mid-May through August 1) as part of a conference, camp, or special event package. Availability for most facilities is limited during the academic year, but you may inquire about specific dates with our office.

Any events for outside organizations must be consistent with Barry University’s mission, and the organization must have an existing affiliation with a university department or academic unit. Individuals must be a Barry faculty/staff member, student, or alumni.

Events Calendar

Various campus departments are responsible for scheduling university facilities and resources. All of these requests (including requests for tables, chairs, trash cans, etc) should be submitted using the form on the online University Calendar of Events. Conference & Event Services oversees the administration of the web calendar. The following guide is intended to help the new user create an account and begin submitting requests.

Please allow 2-4 business days for processing your request once it has been submitted.Some requests may require additional time for final approval. A majority of meetings and events are scheduled on a first come, first serve basis. The exception to this will be for University-wide supported events such as Orientation, Founder's Week, Board of Trustee's Meetings, etc.

We offer an array of meeting space with diverse layouts-banquet, theater, boardroom, classroom and more- capable of meeting your event needs. We also offer Summer Conference Residential space to accommodate your program requirements. 

Event rental fees vary based on the size and scope of a program including but not limited to venue rental and staffing fees. Please email us your application for pricing.

FAQs

  • All meeting room requests must be submitted using the web request form on the Calendar of Events Page. You must have a user ID in order to submit a request. If you do not have a USER ID, simply click on “Create Account” and follow the prompts. You can submit a request immediately after having created an account.

  • Yes. From the menu page in our Calendar of Events, simply click on the “Find Available Space” option. Once you have entered the proposed event date and time, you will be provided with a list of event facilities.

  • On the reservation form, you should always select the seating style (conference, banquet, reception, etc.) required for you event. The room will be setup in the style you have indicated on your reservation form. If your room requires special or unusual set up, a diagram must be drawn and sent you our office at least two weeks prior to the event date. If you do not specify seating style or send a diagram, the room will be received in “as-is” condition.

  • The Conference and Event Services department would be glad to request you’re audiovisual equipment needs as long as the information is indicated on the reservation form.

  • No. All catering services and requests need to be sent to Chartwells. However, Conference and Event Services should be notified if you will need buffet tables or additional chairs for the purpose of serving food. Requests for tables and chairs should be specified in the web reservation form.
