How do I learn what a grant/sponsored project is?

There are many websites that provide information and one of the most comprehensive if found in the Federal Government's Grants.gov website. It provides a helpful reference, Grants 101, that explains the phase of a grant from the application process, through awards and award management all the way to close-out of projects.

Who is eligible to be a Principal Investigator (PI)?

All Barry University faculty are eligible to be Principal Investigators. Employees or appointees with Barry University (i.e – adjunct faculty, graduate assistants, and postdoctoral associates) may be PIs with the endorsement of the department director/chairperson and appropriate senior administration approval. All PIs and Co-PIs must be listed and approved on Transmittal Form.

Do I need to register with Grants.gov?

No, Barry University is registered as an organization in Grants.gov. PIs and other project personnel do not need accounts in Grants.gov. GSP will submit all Grants.gov application packages on behalf of the university and track the status of submissions through Grants.gov.

What is the DUNS number, GSP’s Address, Congressional District, etc?

What are the fringe benefit rates for employees?

Do I need IRB approval?

The Institutional Review Board (IRB) must review research involving human subjects. The purpose of the review is to help assure the protection of the rights and the welfare of human subjects. More information about the IRB, including the policies and procedures, can be found on their website.

What is cost sharing and how do I deal with it?

Cost sharing is the commitment of Barry University resources to a sponsored project. Cost sharing should be included in the proposal only when required. Cost share must be clearly indicated on the Transmittal Form and needs appropriate senior administration approval.

How do I route a proposal?

A proposal must have the endorsement of campus officials and therefore requires signatures of department chairperson/director, college dean/appropriate senior administrator, and the Department of Grants & Sponsored Programs. Prior to submission to a sponsor, PIs or designee must obtain all appropriate signatures. To start the process please visit the Transmittal Form for Barry University.

You can download and find line-by-line instructions of the Transmittal Form. If you have questions as you complete the form, email GSP.

Is there someone at GSP who can assist me with finding grant opportunities?

Funding Opportunities may be found on the GSP website Funding Opportunities and through the GSP e-Blast. When reviewing please note the individual deadlines. Please also review the following sites: Federal Funding Opportunities can be found at www.grants.gov. Most federal agencies have posted program deadline on their agency website. State, local and other funders' deadlines can also be found via the Web.

What assistance is available to help with proposal writing?

GSP provides assistance with the technical aspects of all proposals. If you desire help with writing, please refer to these resources.

Who can help me with my proposal budget?

The Department of Grants and Sponsored Programs is staffed with professionals who have extensive experience developing budgets for government and private funders. Once you have decided to apply for funding GSP staff will meet with you to review requirements and draft a budget. The budget may need additional edits as you proceed through writing the application. GSP staff is there to assist in each step.

What should I do if I've identified a program or project that requires external support?

Contact GSP and we can search for potential funders. You may also visit the Funding Opportunities to identify potential prospects. If you have a funder in mind, we can help you reach out to them and begin drafting the grant proposal.

Do I need to review with anyone prior submitting my proposal to GSP?

Yes. Your department chair, director, dean or administrative supervisor must be aware of your plans to pursue external funding and approve of the activities that the funding will support, via electronic signature on the Transmittal Form.

What is a sponsored program?

A grant or sponsored program is a type of funding awarded to the university to support an approved instructional activity, research endeavor, or public service.

What resources are available to me?

It includes links to other sections of the website that help with the grant writing process. We encourage anyone considering grant funding for their project to contact GSP for additional guidance.

I am writing a proposal for a continuation of a current award, do I still need to get internal approvals for my proposal before submitting?

Yes. The University’s internal review process ensures the current projects are on target; other faculty or staff members are not already seeking a grant from the same agency; Barry matching funds (if any) are approved; and Facilities & Administrative costs and other costs are calculated properly.

What is the difference between a grant and a contract?

A grant is a financial assistance mechanism a sponsor uses to award funds for conducting a specified, approved project. The responsibility for the performance of the project rests primarily with the grant recipient.

A contract is an award instrument establishing a legally binding procurement relationship between the sponsor and the recipient. It obligates the recipient to furnish a project outcome or service that is defined in detail in the written contract, and it binds the sponsor to pay for it.

Why do I need a budget justification?

A budget justification is a breakdown of your proposed budget in a narrative format. It provides you with an opportunity to explain to the funder why each of line items is necessary to accomplish your scope of work. Grants and Sponsored Programs will assist in the creation and review of your budget to ensure compliance with both the funder’s guidelines and with Barry’s internal policies and procedures.
