Data Privacy Tutorial: A Simple but Effective Way to Send Information via Email

Email is convenient, but generally NOT a good distribution media for sensitive information. If email must be used for sending sensitive information the simplest approach may be to restrict sensitive information to encrypted attachments. Remember not to include the password within the email itself. Communicate file passwords to the recipient via an alternate channel (e.g. by phone or in person).

  1. Create the document(s) to be sent
  2. Password-protect the file(s)
  3. Attached the password-protected files(s) to a regular email message
  4. Send the message
  5. Provide the password(s) to the recipient via another channel (face-to-face, by phone etc).
